JOB DESCRIPTION

Satellite Teams are searching for a Records Clerk who will work for a rapidly growing litigation and trial firm for its plaintiff's side labor and employment practice. This role must have high quality records related support that can maintain positive working relationships with clients, attorneys and support staff. Adheres to strict confidentiality, timeliness and accuracy of all related work. Possess high attention to detail, ability to multitask and prioritize urgent tasks despite heavy workload, and excel under pressure.

RESPONSIBILITIES

  • Answer calls from prospective clients.
  • Scheduling appointments and coordinating execution of the retainer packages.
  • Obtaining evidence from prospective clients in real time, including paystubs, communications and other relevant documents.
  • Utilize a user-friendly case management and intake software.
  • Responsible for solving complaints from clients and employees.
  • Run reports to ensure numbers are being met by the department and the clients.
  • Ensure all files sent to demands have the necessary documentation.
  • Ensure staff members follow policies and procedures.
  • Responsible for maintaining and securing records in accordance with the established Firm policies and procedures.
  • Receives and processes files for central filing.
  • Assembles files in client/matter number order and maintains the organization of the filing system.
  • Manages the inventory of files and handles file retrieval requests.
  • Responsible for selecting procedures to be followed, and searching for interpreting, selecting, or coding items to be entered from a variety of document sources.

QUALIFICATIONS

  • Bachelor’s degree in any relevant course.
  • At least one year of law firm experience with prior experience in law firm records is preferred.
  • Well organized, attention to detail, and good with analytical and multi-tasking.
  • Strong written and verbal communication skills.
  • Should have knowledge of Internet software; Spreadsheet software and Word Processing software (Microsoft Office; Word, Excel, PowerPoint, Outlook, Teams, SAP and Adobe Acrobat).
  • Ability to handle confidential and sensitive information with a high degree of discretion and tact.
  • Ability to work independently or in team environments to complete projects efficiently.
  • Ability to adhere to law office procedures is a plus.
  • Ability to maintain composure and professionalism under pressure.
  • Knowledgeable in Records Management principles, Records Retention principles & processes, Audit process for Electronic Records, and Filing and data entry best practices.
  • Excellent customer service skills.
