Calendar and Schedule Management:
- Manage and maintain the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
- Coordinate and prioritize the executive’s daily activities, ensuring efficient time management.
- Prepare meeting agendas, briefings, and materials for the executive.
Communication and Correspondence:
- Act as a point of contact between the executive and internal/external stakeholders.
- Screen and manage phone calls, emails, and other forms of communication.
- Draft, proofread, and edit correspondence, reports, and presentations.
Meeting and Event Coordination:
- Organize and coordinate meetings, including booking venues, arranging catering, and managing logistics.
- Attend meetings, take minutes, and follow up on action items as required.
- Plan and execute company events, conferences, and other special projects.
Travel Coordination:
- Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
- Prepare detailed travel itineraries and manage travel expenses and reimbursements.
Administrative Support:
- Manage confidential documents and information with discretion.
- Assist with the preparation of reports, presentations, and data analysis.
- Handle office tasks such as filing, data entry, and managing supplies.
Project Management:
- Support the executive in various projects by coordinating tasks, timelines, and deliverables.
- Conduct research and compile information for special projects and presentations.
Financial Administration:
- Assist with budgeting, expense tracking, and financial reporting for the executive’s office.
- Process invoices, expense reports, and reimbursements.
Liaison and Relationship Management:
- Build and maintain relationships with key internal and external contacts.
- Facilitate communication between the executive and other departments or external partners.
