The Administrative Assistant provides essential support to the office and management team by performing a variety of administrative and clerical tasks. This role involves managing day-to-day operations, ensuring efficient workflow, and supporting other staff members to enhance overall productivity.
RESPONSIBILITIES
Office Management:
Greet and assist visitors, clients, and staff.
Answer and direct phone calls, and manage incoming and outgoing correspondence.
Maintain a clean and organized office environment.
Order and manage office supplies and inventory.
Administrative Support:
Schedule and coordinate meetings, appointments, and events.
Prepare and distribute meeting agendas, minutes, and other documents.
Assist in the preparation of reports, presentations, and other materials.
Handle data entry, filing, and record-keeping tasks.
Communication:
Serve as a point of contact for internal and external communications.
Draft, proofread, and edit emails, letters, and other communications.
Liaise with clients, vendors, and service providers as needed.
Project Coordination:
Assist in the planning and execution of special projects and events.
Coordinate logistics for meetings, conferences, and travel arrangements.
Track project timelines and ensure deadlines are met.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Manage and update databases, spreadsheets, and contact lists.
Financial Administration:
Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
Track and reconcile petty cash and other office expenditures.
Customer Service:
Provide excellent customer service to clients, visitors, and staff.
Handle inquiries and resolve issues promptly and professionally.
QUALIFICATIONS
Proven experience as an administrative assistant or in a similar role.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to multitask and prioritize workload.
Attention to detail and problem-solving abilities.
Discretion and confidentiality in handling sensitive information.

We are looking for a Lien Negotiator whose primary function will be to negotiate post-settlement liens, including health
insurance liens, hospital liens, private medical provider liens, and state and federal medical provider liens. They will also
be responsible for finalizing the case and providing clients with the best recovery possible and exhibit a high level of
efficiency and proficiency.
RESPONSIBILITIES
Regularly keeping clients informed
Providing status updates to providers
Drafting reduction letters
Obtaining final medical balances at settlement
Assemble, organize, and itemize client medical bills
Communicate with Medi-cal and Medicare
QUALIFICATIONS
Proficiency with Microsoft Word and Excel
Attention to detail
Maintain professional demeanor on the phone and in all business communications
Ability to meet deadlines and quotas
Ability to multitask
Work both independently and as a member
Bachelor’s Degree from a 4 year university
To perform this job successfully, an individual should have knowledge of Internet software; Spreadsheet software and Word Processing software.
